How to add custom fonts to a PowerPoint template
Install the font files on your computer, open the slide master (View > Slide Master), click Fonts > Customise Fonts, and assign your brand's heading and body fonts to the theme font slots. Then go to File > Options > Save and tick "Embed fonts in the file" to ensure the fonts travel with the template. Without embedding, anyone who opens the file on a machine that lacks the font will see a substituted typeface.
Where do you install fonts on Windows and Mac?
On Windows, right-click the font file (.ttf or .otf) and select Install or Install for all users. Installing for all users requires administrator rights but ensures every application on the machine can access the font. On Mac, double-click the font file and click Install Font in the Font Book preview window.
If your organisation uses Microsoft 365 and you need fonts available across multiple machines, your IT team can deploy fonts through Group Policy (Windows) or a mobile device management tool (Mac). This removes the dependency on individual staff installing fonts manually.
How do you assign fonts to the template theme?
In the slide master view, click Fonts on the Slide Master ribbon, then select Customise Fonts at the bottom of the dropdown. The dialogue box has two slots: Heading font and Body font. Select your brand's heading typeface for the first slot and your body typeface for the second.
These theme fonts feed into every placeholder, text box and default text style across the template. When staff insert a new text box or type into a placeholder, PowerPoint applies the theme fonts automatically. If you skip this step and format fonts directly on placeholders, staff can override them by selecting a different font from the dropdown. Theme fonts create a persistent default that survives casual editing.
Why should you embed fonts?
Font embedding packages the font data inside the PowerPoint file itself. Without embedding, the file relies on the font being installed on whatever machine opens it. If the font is missing, PowerPoint substitutes a system font (often Calibri or Arial), which changes text spacing, line breaks and the overall look of every slide.
Go to File > Options > Save and tick "Embed fonts in the file". You will see two sub-options: "Embed only the characters used in the presentation" (smaller file size, but the recipient cannot edit text with the full character set) and "Embed all characters" (larger file, full editability). For templates, choose "Embed all characters" so your team can type anything they need.
Be aware that some font licences restrict embedding. If the font licence does not permit embedding, PowerPoint will embed it as read-only or refuse to embed it at all. Check your font licence before committing to a typeface for your template.
What about Google Fonts and free fonts?
Google Fonts are licensed under the SIL Open Font Licence, which permits embedding without restriction. If your brand uses a Google Font, you can embed it freely. Download the font files from fonts.google.com, install them, and assign them to the theme.
Free fonts from other sources require a licence check. Some free fonts are free for personal use but require a commercial licence for business documents. Others restrict embedding entirely. What happens when fonts are substituted?
Font substitution changes character widths, which changes line breaks, which changes text overflow, which can push content off the edge of placeholders. A heading that fits on one line in Montserrat may wrap to two lines in Calibri. A body text paragraph that sits neatly within its placeholder in your brand font may overflow and become hidden behind other elements in a substituted font.
You can check for font substitution by opening the file on a machine that does not have the font installed. PowerPoint does not always warn you about substitution. If the text looks different or placeholders seem to overflow, the font is being substituted.
Can you use variable fonts in PowerPoint?
PowerPoint supports variable fonts (.ttf files in the variable font format) on Windows and Mac. Variable fonts contain multiple weights and styles in a single file, which reduces the number of font files you need to install. However, PowerPoint's theme font system still only assigns one heading font and one body font. You can use a variable font for both, but you cannot assign different weights to different placeholder levels through the theme system alone. You will need to format individual placeholder levels in the slide master to apply specific weights like Light, Medium or Bold.
Custom fonts give your template a distinctive look, but they need to be installed, assigned to the theme and embedded in the file to work reliably. Check your font licence before building the template, and embed all characters so your team can edit freely on any machine.
