How to distribute a PowerPoint template across your organisation
Store your .potx template in a central location that every user can access, such as a SharePoint document library or a network file share, then configure that location as a custom template path in PowerPoint's settings or through Group Policy. When staff click File > New, your branded template appears alongside or instead of Microsoft's defaults. This is the difference between a template that gets used and one that lives forgotten on an intranet page.
What are the main distribution methods?
There are four common approaches. SharePoint or OneDrive for Business is the most reliable for Microsoft 365 environments. A network file share works for on-premises setups. Email distribution is the simplest but the least controllable. An intranet download page works as a fallback but relies on staff remembering to visit it.
Each method trades off control against convenience. SharePoint gives your IT team the most control over versioning and access. Email gives staff the file instantly but creates dozens of local copies that will never receive updates.
How do you set a custom template location in PowerPoint?
On an individual machine, go to File > Options > Save and enter a path in the "Default personal templates location" field. Point this to your shared template folder. The next time the user clicks File > New > Custom, the templates in that folder appear as options.
For enterprise rollouts, your IT team can push this setting through Group Policy (Windows) or a configuration profile (Mac). The Group Policy setting sits under User Configuration > Administrative Templates > Microsoft PowerPoint > Options > Save > Default Personal Templates Location. This applies the path to every user in the targeted group without anyone needing to change their own settings.
How does SharePoint template distribution work?
Create a document library in SharePoint and upload your .potx files. Your IT team can then configure this library as an Organisation Templates location through the SharePoint admin centre or Microsoft 365 admin centre. Once configured, templates from this library appear under File > New > Your Organisation (the exact label varies by tenant configuration).
The advantage of this method is that updates are automatic. When you upload a new version of the template to the library, every user sees the updated version the next time they create a new presentation. No redistribution, no email reminders, no version confusion.
What about emailing the template file?
Email is the fastest way to get a template into someone's hands and the worst way to maintain it. The moment you email a .potx file, you lose control of versioning. Staff save it to their desktop, their downloads folder, or a random spot on their hard drive. When you update the template six months later, those local copies do not update. At Ideaseed, we see organisations running three or four different versions of the same template because of email-based distribution.
If you must use email, include clear instructions telling staff to save the file to their Custom Office Templates folder and to delete any previous version. But treat email as a stopgap while you set up a central distribution method.
How do you handle version control?
Store only one version of the template in the central location. When you update it, replace the existing file rather than adding a new file with a version number in the name. If your template lives on SharePoint, use SharePoint's built-in version history to track changes. This way, staff always access the latest template, and you have a full audit trail if you need to roll back.
Never name template files with dates or version numbers ("Company_Template_v3_March2026.potx"). Staff will search for the file by name and may open an old version from search results. Use a single, consistent filename like "Company_Presentation.potx".
How do you confirm staff are using the right template?
Open a sample of recent presentations from across the team and check the slide master. If the slide master matches your template, staff are using it. If you see default PowerPoint layouts, custom fonts missing, or inconsistent branding, the template has not been adopted.
For larger organisations, a quarterly spot check of 10 to 15 presentations gives you a reliable picture of template adoption. If adoption is low, the problem is usually access (staff cannot find the template) or usability (the template is too rigid or lacks the layouts they need), not wilful non-compliance.
Distribution determines whether your template investment pays off. Store the .potx in a central location, configure it as a custom template path, and replace the file in place when you update it. A template that staff can find and open in two clicks is a template that gets used.
