How to set up a Word template for mail merge
Set up a Word mail merge template by opening a blank document, going to Mailings > Start Mail Merge and choosing the document type, connecting a clean Excel worksheet through Select Recipients > Use an Existing List, inserting merge fields where the variable content sits, then saving the finished layout as a branded .dotx so staff reuse it.
What data source works best for a Word mail merge?
An Excel worksheet is the most reliable source for most organisations, because the data stays visible and easy to correct before the merge runs. Outlook contacts connect through Mailings > Select Recipients > Choose from Outlook Contacts, which suits small internal sends. A SharePoint list has to be exported to Excel first.
Whatever the source, the data range has to be clean before Word touches it:
- One header row in the first row of the sheet, with no title or logo rows above it
- One record per row, with no merged cells anywhere in the range
- No blank rows and no subtotal rows sitting inside the data
- Short column names without leading spaces, since Word uses them as field names
- Consistent data types down each column, so postcodes stay text and dates stay dates
Data types cause more merge failures than layout does. A postcode such as 0800 loses its leading zero the moment Excel treats the column as a number, and a date stored as text will ignore formatting switches later. Format each column in Excel first, then connect it.
For finer control, turn on File > Options > Advanced > General > Confirm file format conversion on open. Word will then offer to connect the workbook using MS Excel Worksheets via DDE, which carries Excel's own number and date formatting straight through.
How do you insert merge fields into the layout?
Build the letter or statement exactly as it should look when it is finished, then place the variable content. Mailings > Insert Merge Field drops a single field such as <<FirstName>> at the cursor. Mailings > Address Block inserts a complete postal address in one object, and Greeting Line handles the salutation with a fallback for records that have no name.
Address Block relies on Word guessing which column is which. Click Match Fields inside the dialog and map them by hand, particularly for Australian addresses where State and Postcode often sit in columns Word does not recognise.
Why do dates and currency values come through wrong?
Word receives raw values from the data source and applies its own formatting, so a date can arrive as 45292 and a dollar amount as 1234.5. Field switches fix this permanently inside the template.
Press Alt+F9 to reveal the codes, then edit them directly. A currency field becomes { MERGEFIELD Amount \# "$#,##0.00" } and a date becomes { MERGEFIELD StartDate \@ "d MMMM yyyy" }, which returns 4 March 2027 in Australian order. Press Alt+F9 again to hide the codes and F9 to refresh the preview.
How do you make one letter say something different from another?
Mailings > Rules holds the conditional logic. If...Then...Else compares a field against a value and inserts one block of text or another, so a single template covers a paid account and an overdue one. The resulting code reads { IF { MERGEFIELD Balance } > 0 "Payment is due within 14 days." "No payment is outstanding." }
Skip Record If removes records that fail a test. Next Record moves to the following record on the same page, which is how directories and multi-record pages are built. Fill-in prompts the person running the merge for a value that changes each time, such as a reference number.
How do you check and finish the merge?
Turn on Preview Results and arrow through the first twenty records, watching for truncated addresses and empty fields. Auto Check for Errors (Alt+Shift+K) simulates the whole merge and reports problems without printing anything.
Finish & Merge then offers the destinations. Edit Individual Documents creates one long document you can review before printing, Print Documents sends straight to the printer, and Send Email Messages pushes the merge through Outlook using a chosen email column as the address.
Why should the merge live in a .dotx template?
A .docx saved on someone's desktop becomes six versions within a month. Saving the finished layout through File > Save As > Word Template (*.dotx) keeps the branded margins, styles, logo placement and merge field structure intact, and every new merge starts from a clean copy.
Store the .dotx in the workgroup templates location set under File > Options > Advanced > File Locations, or in a SharePoint library the team already uses.
