How to put landscape pages inside a portrait Word document
Insert a Next Page section break before and after the pages you want rotated using Layout > Breaks > Next Page, click inside the new section, then set Layout > Orientation to Landscape. The breaks confine the orientation change to that section. Then turn off Link to Previous in the headers and footers so the rest of the document keeps its own layout.
Why does the whole document rotate when you change orientation?
Orientation in Word is a property of the section, and a document with no section breaks is one single section. Changing Layout > Orientation therefore applies to everything from the first page to the last.
Section breaks divide the document into parts that can each hold their own orientation, margins, paper size, columns, headers and footers. Turn on formatting marks with Ctrl+Shift+8 before you start, so the breaks are visible and you can see exactly where each section begins and ends.
How do you add the section breaks?
Place the cursor at the very start of the content that should sit on the landscape page and go to Layout > Breaks > Next Page under Section Breaks. Move to the end of that content and insert a second Next Page break.
Click anywhere between the two breaks and choose Layout > Orientation > Landscape. Only those pages rotate. If you need different margins on the rotated pages, open the Page Setup dialog launcher, set the margins, and confirm that Apply to reads This section before clicking OK.
A wide table is the usual reason for doing this. Insert the breaks first and rotate the section before you paste the table in, because pasting a wide table into a portrait section causes Word to resize columns in ways that are tedious to undo.
How do you stop the headers and footers changing on every page?
New sections inherit the previous section's header and footer through a setting called Link to Previous, and the trap is that editing the header inside the landscape section rewrites the header for the whole document.
Double-click into the header of the landscape section and turn off Header & Footer > Link to Previous. Do the same in the footer. Then move into the section that follows and turn Link to Previous off there as well, otherwise your changes will flow forward into the rest of the report.
Where the document uses Different First Page or Different Odd & Even Pages, each of those header types carries its own link, so check every one in both sections.
How do you make the header read correctly on a rotated page?
Word keeps the header at the top of the sheet as it is printed, so on a landscape page the header runs along the short edge. Where the pages are printed and bound in portrait, the running head needs to be rotated so it reads correctly once the sheet is turned.
Insert a text box into the header, type or copy the header content into it, then use Shape Format > Text Direction > Rotate all text 270 degrees. Set the text box to No Fill and No Outline. Position it with Layout Options > See more > Position, using Absolute position relative to Page for both horizontal and vertical values, and tick Lock anchor so the box stays put.
Does page numbering stay continuous?
Page numbering continues across sections by default. It breaks when someone sets a section to restart, so check Header & Footer > Page Number > Format Page Numbers and confirm that Continue from previous section is selected for both the landscape section and the one after it.
A PAGE field placed inside a rotated text box behaves exactly as it does anywhere else, so the number on a landscape page follows the sequence and updates with the rest of the document.
How should a report template handle landscape pages?
Build the landscape page into the template as a building block, so staff insert a finished page instead of assembling one. Set up a correct landscape section with unlinked headers, a rotated running head and continuous numbering, select the whole section, then use Insert > Quick Parts > Save Selection to Quick Part Gallery and save it into the template.
