Why do PowerPoint handouts print badly?
PowerPoint handouts print badly because a 16:9 slide does not fit an A4 portrait page. PowerPoint scales each slide to the page width, which leaves deep white margins above and below. Dark full-bleed backgrounds then flood the sheet with toner and flatten text into unreadable grey. Most of it is fixed in the print settings and the Handout Master.
Why are the margins so large?
An A4 page is 210 by 297mm, a ratio of roughly 1:1.41. A 16:9 slide has a ratio of 1:0.5625. When PowerPoint places one, two or three slides on a portrait sheet it fits them to the width, and the leftover height becomes white space. The three slides per page handout uses that space for note lines. The other layouts leave it empty.
Six slides per page fills an A4 portrait sheet far more evenly, at the cost of text size.
Why do dark slides ruin a printed handout?
A full-bleed dark background prints as a solid block of toner across the whole page. On a laser printer it curls the paper. On an inkjet it soaks it. White text on that background survives only if the printer holds its density perfectly, and most office printers do not.
Printed in greyscale, a brand navy and a brand charcoal collapse into near identical mid greys, and text set in a brand accent colour disappears into the background behind it. Charts suffer the worst, because a colour coded series legend becomes four indistinguishable grey swatches.
What do the Colour settings in File > Print do?
File > Print > Colour offers three settings and they behave very differently. Colour prints as designed. Greyscale converts colours to tonal greys and keeps shading, gradients and photographs as grey images. Pure Black and White drops shading entirely, renders most fills as white and most text and outlines as black.
Pure Black and White is the setting that rescues a dark deck on a mono printer. It removes the background image and turns a white-on-dark heading into black-on-white, which is exactly what a readable handout needs. Check the print preview first, because charts and images can lose their meaning under both greyscale modes.
What do Frame Slides and Scale to Fit Paper do?
Both sit in the handout options under File > Print. Frame Slides draws a thin border around each slide image, which is worth switching on for any slide with a white background, because otherwise the slide edge is invisible on the page. Scale to Fit Paper resizes the slide image to use the maximum printable area of the sheet, which trims the white margin and is on by default.
What can you control in the Handout Master?
View > Handout Master gives you the header, footer, date and page number placeholders, the handout orientation, the slide orientation and the number of slides per page.
What the Handout Master will not let you do is move the slide thumbnails, resize them, reposition the note lines or place a logo behind the slide images. PowerPoint fixes those positions. Any handout that needs genuine layout control has to be built as a separate document.
Are notes pages a better option?
View > Notes Master controls the notes page and gives you far more room to work with: one slide image per page with the speaker notes below, and full control over the notes text styles, margins and placeholder sizes. Notes pages print at one slide per A4 sheet, which suits a workshop pack or a board paper.
The notes placeholder honours the styles set in the Notes Master, so setting the font, size and line spacing there once fixes every page in the deck. Notes text pasted in from Word overrides those styles, so check it before a print run.
Why export a PDF instead of printing directly?
Printing straight from PowerPoint sends the job through whatever driver the machine has, so the output changes with the printer. File > Export > Create PDF/XPS produces a fixed file where page size, colour conversion and font rendering are locked, and it prints identically on every device.
Set the page size before exporting. Design > Slide Size > Custom Slide Size lets you set A4 for a document style deck, and PowerPoint will prompt to Maximise or Ensure Fit when it rescales existing content. For a 16:9 deck that also has to print, export the handout view to PDF and check it at 100% first.
How should a template handle print?
Design a print-safe variant into the template. That means a light background version of every layout that carries a dark background, charts that separate their series with tone or pattern as well as colour, and body text set in values that hold their contrast in greyscale.
