Canva vs PowerPoint for business presentations
Canva suits fast, visual presentations made by people without design training. PowerPoint suits presentations a large organisation has to maintain, because slide masters and layouts carry brand rules into every new deck. The deciding factor is usually the export: a Canva design sent to PowerPoint arrives as flattened images and loose text boxes with no slide master behind it.
What is Canva better at?
Canva is faster for a person who has no design background and needs something presentable by Thursday. The template gallery gives a workable starting point, drag and drop editing has almost no learning curve, and the result usually looks more considered than the same person would manage in PowerPoint from scratch.
It runs in a browser, so there is nothing to install and no version mismatch between a Mac and a Windows laptop. Brand Kit holds approved logos, colour values and fonts, and Brand Templates let an administrator lock elements so a marketing coordinator cannot move the logo.
Collaboration is simple. A link is enough, comments sit on the canvas, and two people can edit the same page at once without anyone emailing a file called final_v7.
What is PowerPoint better at?
PowerPoint holds brand at scale through slide masters. A master built in View > Slide Master carries typography, colour, logo placement and placeholder geometry into every layout, so a new slide inherits the rules automatically. Theme colours set under Design > Variants > Colours flow into charts, SmartArt and tables, which means a chart built by someone in finance comes out in brand colours without them choosing a single swatch.
It works offline, which still matters in a boardroom with poor wifi, on a plane and in secure facilities where browser access is restricted.
The .pptx file is what clients, tender panels and government agencies expect to receive. Many procurement portals accept .pptx and PDF and nothing else, and a reviewer who wants to check a figure will open the deck rather than a link.
Animation and transition work is deeper. Morph produces smooth object level movement between slides, and the Animation Pane gives frame level control that browser based tools do not match.
PowerPoint also sits inside the rest of Office. Charts can be linked to an Excel workbook and refreshed with Data > Refresh, so a quarterly board pack updates from the source. Copilot drafts and restructures slides inside the application, using the organisation tenant rather than a third party account. There is no export step, so the file people edit is the file people present.
What happens when a Canva design is exported to PowerPoint?
This is where enterprise projects come unstuck. Download > PowerPoint produces a .pptx, and at a glance it looks correct. Open View > Slide Master and the structure is gone.
Every element arrives as a free floating text box, shape or flattened image on a blank layout. There are no content placeholders, so Outline view is empty and Reset does nothing. Non standard fonts are commonly rasterised or substituted, which means text inside a graphic cannot be corrected. Charts arrive as pictures rather than editable data.
For a one off conference deck that is acceptable. For a template that two thousand staff will build from for the next four years, it is unusable. The file cannot be maintained, cannot be version controlled sensibly and cannot enforce anything.
How do licensing and information security affect the choice?
Microsoft 365 is already in the tenant, already covered by the organisation security assessment and already governed by existing data handling policy. Adding Canva means a new vendor assessment, questions about data residency and, for government agencies, a review against the Information Security Manual and any IRAP requirements that apply.
Licensing is the smaller issue and still worth costing. Canva Enterprise is priced per user on top of Microsoft 365 seats an organisation already pays for, and brand locking features sit in the paid tiers.

When is each the right choice?
Choose Canva for social assets, event collateral, internal decks with a short life and teams with no design support who need something respectable quickly.

Plenty of organisations run both. The workable split is Canva for marketing output that stays in Canva, and PowerPoint for anything that has to be edited, versioned or submitted as a file.
Canva wins on speed and accessibility for non designers. PowerPoint wins on brand control and long term maintainability, because slide masters do work no export can replicate. Decide based on how long the material has to live and how many people will edit it.
