How to set up automatic captions for figures and tables in Word
Select the image or table, go to References then Insert Caption, choose the Figure or Table label, and Word numbers it automatically. Add or delete a figure later and every caption renumbers itself. Those captions can then generate an automatic table of figures, the same way headings drive a table of contents. In a long document this replaces fragile manual numbering entirely.
Manual figure numbers are a trap. Insert one new chart on page 8 and every later number is wrong, along with every reference to them in the text.
How does automatic numbering work?
Word maintains a counter for each label type. Each new Figure caption takes the next number in sequence, so Figure 1, Figure 2 and so on. Because the numbers are fields rather than typed text, inserting a figure in the middle shifts every subsequent caption automatically when the document updates.
You can create custom labels too, such as Exhibit or Chart, if your document uses different terminology.
How do you reference a figure in the text?
Use a cross-reference, through References then Cross-reference, to point to a caption. The reference becomes a field that updates with the caption, so "see Figure 3" stays correct even after the figure renumbers. Typing the number by hand defeats the whole system, because it will not move when the captions do.
Press Ctrl+A then F9 to update all fields before finalising, so every caption and cross-reference reflects the current order.
How do you build a table of figures?
Insert a Table of Figures from the References tab. It collects every caption of a chosen label into a list with page numbers, and rebuilds on update. For reports with many exhibits, this gives readers a navigable index that maintains itself.
