How to deploy Word and PowerPoint templates through SharePoint and Microsoft 365
Publish the templates to a SharePoint Organisation Asset Library, which makes them appear under File > New in Word and PowerPoint for every user in the tenant. Where that is unavailable, use a SharePoint document library with a template content type, a synced OneDrive folder, or a Group Policy or Cloud Policy that points Office at a workgroup templates path.
What is an Organisation Asset Library and how do you set one up?
An Organisation Asset Library is a SharePoint library registered with the tenant as an official source of company assets. Once registered, Office reads it directly, and approved templates appear on their own branded tab in Word, PowerPoint and Excel under File > New.
Set-up runs through SharePoint Online Management Shell. Create a library on a communication site that all staff can read, upload the .dotx and .potx files, then run Add-SPOOrgAssetsLibrary with the library URL and an OrgAssetType of OfficeTemplateLibrary. Allow up to 24 hours for the tab to appear on every desktop.
This is the option to reach for in a Microsoft 365 organisation. Staff never browse to a folder, the library is read-only to them, and a single upload updates what everyone sees.
How do you deploy templates from an ordinary SharePoint document library?
Where the tenant admin will not register an asset library, a standard document library still works. Add a Document content type to the library, attach the .dotx or .potx as its document template, and the New button on the library toolbar offers it by name.
Go to Library settings > Advanced settings to edit the template for the default content type, or Site settings > Site content types to build a set of named types such as Report, Policy and Client Presentation. Set the library permissions so staff have Read on the template itself and Contribute on the documents they create.
Can you use a synced OneDrive folder instead?
Yes, and it suits smaller teams. Sync a SharePoint library to File Explorer, then point Word at it through File > Options > Save > Default personal templates location. Templates then show under File > New > Personal.
The limitation is that every machine needs the sync configured and the path is user-specific, so this does not scale to a few thousand staff without a deployment script.
How do you set the workgroup templates path with Group Policy or Cloud Policy?
Word has carried a workgroup templates location for decades and it remains the most reliable way to push templates to a managed fleet. The setting sits at File > Options > Advanced > General > File Locations > Workgroup templates, and anything in that folder appears under File > New > Shared.
Rather than asking staff to set it, push it. On-premises, use the Office administrative templates under User Configuration > Microsoft Word > Word Options > Advanced > File Locations. For cloud-managed devices, the Cloud Policy service at config.office.com sets the same value against an Entra ID group, with no domain join required. Point it at a UNC path or a synced library path that resolves on every machine.
How do you make a template open as a new copy rather than being edited in place?
Save the file as a template format. A .dotx or .potx opens a new untitled document based on the template, whereas a .docx or .pptx opens the original file and invites someone to save over it.
Reinforce it at the library. Set Library settings > Advanced settings > Opening documents in the browser to Open in the client application, give staff Read permission on the template library, and turn on version history so an accidental overwrite can be rolled back. How do you push an update once the template is out there?
Replace the file in the library, keeping the same filename and letting SharePoint version it. Everyone who starts a new document after that picks up the change, and version history gives you a clean rollback.
Documents already created keep the design they were built with, which is expected behaviour. Avoid relying on Developer > Document Template > Automatically update document styles to retrofit changes, because it reapplies styles from the attached template on open and will reflow finished documents without warning.
Why does emailing templates around fail?
An emailed template is a copy. It lands in mailboxes, gets saved to Downloads and desktops, and within a month nobody can tell which version anyone is using.
Emailed files also arrive with the Mark of the Web applied, so Word opens them in Protected View and any macros are blocked by default. Staff either work in a read-only state or click through security warnings.
