What is the Microsoft 365 organisation asset library?
An Organisation Asset Library is a SharePoint Online document library registered with Microsoft 365 so its contents appear inside Office apps as an approved company source. Templates stored in one show under File > New > Organisation in Word, PowerPoint and Excel. Images stored in one show under Insert > Pictures > Organisation. Registration is done with the Add-SPOOrgAssetsLibrary PowerShell command.
How do you set up an Organisation Asset Library?
Start with an ordinary SharePoint Online document library on a site the organisation controls, usually a dedicated brand or communications site rather than a team site people leave over time. Put the approved templates and images into it, then register it with PowerShell.
The command is Add-SPOOrgAssetsLibrary, run from the SharePoint Online Management Shell after connecting with Connect-SPOService. It takes the library URL, a thumbnail URL for the tile shown inside Office, and an OrgAssetType switch of either OfficeTemplateLibrary or ImageDocumentLibrary. That switch decides whether the contents surface in the File > New screen or in the picture picker.
Get-SPOOrgAssetsLibrary lists what is already registered and Remove-SPOOrgAssetsLibrary takes one out. A tenant can register more than one library, which helps when images and templates are owned by different teams.
Where do staff see the library inside Office?
For templates, users go to File > New in Word, PowerPoint or Excel and select the Organisation tab, which appears alongside Personal and the Microsoft template gallery. Approved .dotx, .potx and .xltx files appear there with thumbnails, and opening one creates a new document from it.
For images, users go to Insert > Pictures > Organisation and browse the approved image library from inside the application. The same source feeds picture placeholder pickers, so a slide layout expecting an image offers approved photography first.
The value is that neither route requires the user to know where anything is stored. There is no SharePoint URL to remember and no shared drive to navigate.
What licensing and permissions are required?
The Organisation tab requires a Microsoft 365 subscription that includes the desktop Office apps, such as Business Standard, Business Premium, E3 or E5. Perpetual licences like Office 2019 or Office 2021 do not surface the Organisation tab, because the feature is delivered through Microsoft 365 Apps.
Setting the library up requires SharePoint Administrator or Global Administrator rights, since the PowerShell command operates at tenant level. Individual users need read access to the SharePoint library itself. A frequent mistake is registering a library that only the brand team can open, after which nothing appears for anyone else and the rollout is judged a failure.
Give the wide audience read permission and keep contribute rights with the small group that owns the templates. That split is the entire governance model in one setting.
Why do new templates take time to appear?
Changes are not instant. Microsoft documents a delay of up to 24 hours between registering a library or adding a file and that content appearing for users, because Office caches the organisation asset list locally.
Plan template launches around the delay. Upload the files, register the library, wait a day, then announce it. Signing out of Office and back in, or clearing the Office cache, sometimes speeds things up on an individual machine, although it is not dependable enough to promise to a room full of staff.
What is the governance benefit of one approved source?
Every organisation with a branding problem shares the same underlying issue, which is that staff cannot tell which file is current. Templates live on desktops, in email attachments, in several Teams channels and in a shared drive nobody has tidied for years. People use whichever version they find first.
An Organisation Asset Library removes the search. There is one location, it is surfaced inside the application at the moment of need, and updating the file in SharePoint updates what everyone sees the next time they create a document. Retiring an old template is as simple as deleting it from the library.
It also creates a natural audit point. One library with one owner and a full SharePoint version history, which is what brand and procurement teams need when a template has to be updated across thousands of users.

What should you put in the library?
Keep it tight. A library holding six correct templates is used, and a library holding sixty is ignored. Include the current .dotx, .potx and .xltx files for each document type staff actually produce, plus the approved logo files and photography.
Name files as staff would search for them, using the document type rather than an internal project code. Set a thumbnail for each template, since a wall of identical generic icons defeats the purpose.
